Sometimes, the shipping fee you see during checkout on Shopee is lower than the amount that gets charged later. This is called an overcharged shipping fee. It usually happens when the courier calculates a higher fee based on the parcel’s weight or size.
As a seller, this can affect your earnings without you realising it. In this article, we’ll explain what overcharged shipping fees are, why they happen, how to check for them, and what you can do if you think you've been charged too much.
What Is Shopee Overcharged Shipping Fee?
Overcharged shipping happens when the actual shipping fee charged by Shopee’s logistics partner is higher than the estimated shipping fee shown during checkout. This usually happens because the courier calculates the shipping fee based on either:
-
the actual weight (what the parcel weighs on a scale), or
-
the volumetric weight (how much space the parcel takes up),
whichever is greater.
This means that even if a parcel is light, it can still incur high shipping fees if it’s large in size. For example, a bulky but lightweight item like a pillow might only weigh 1 kg, but the volumetric weight could be 3 kg. The courier will charge based on the 3 kg.
How to Check for Shopee Overcharged Fees
If you suspect that you've been charged more than expected for shipping, there are two main ways to confirm it:
1. Income Detailed Report
-
Go to My Income > Income Details > Export
-
Look for the tab called “Shipping Fee Discrepancy”
-
This sheet will show you:
-
The Estimated Shipping Fee (ESF)
-
The Actual Shipping Fee (ASF)
-
The difference between them
-
The reason why you were charged more
-
This is the most detailed way to track and verify overcharges in bulk.
2. Order Details Page
-
For individual orders, go to the order in Shopee Seller Centre
-
Click “View Details” to see the fee breakdown
-
It will show if the actual shipping fee is higher than estimated, and why
How Shopee Handles Excess Charges
When Shopee detects that a shipping fee is suspiciously high, it will:
1. Flag the order for review.
2. Temporarily hold the seller’s payout for that order.
3. Verify the actual weight and shipping fee with the courier (logistics partner).
4. Adjust the shipping fee if needed, then release the corrected payout to the seller.
This process usually takes 1 to 2 working days.
Example Breakdown
Let’s say:
-
Buyer pays RM1.90 for shipping at checkout.
-
Courier charges RM8.00 for the actual shipment.
-
Shopee gives the seller a RM3.00 shipping rebate.
Calculation of Overcharged Amount Deducted from Seller’s Payout:
RM8.00 (actual fee)
− RM1.90 (buyer’s payment)
− RM3.00 (rebate from Shopee)
= RM3.10 overcharged amount
This RM3.10 is deducted directly from the seller’s payout.
How to File an Overcharged Shipping Fee Claim
Step 1: Access the Claim Form
You need to go to the Shopee Malaysia Overcharged Shipping Fee Form and fill it in. This is where you submit your complaint and provide proof that you were wrongly charged.
Step 2: Prepare the Required Information
You’ll need to gather and input the following:
For Single Orders:
-
Order ID
-
Courier name and tracking number
-
Actual weight and dimensions of the parcel
-
Photos showing proof of weight and size
-
Volumetric weight
-
Breakdown of:
-
ASF (Actual Shipping Fee)
-
ESF (Estimated Shipping Fee)
-
No photos? You can take photos of a similar packed item to use as proof if you didn’t take pictures before shipping.
For Multiple Orders:
-
Download Shopee’s Excel template
-
Fill in one sheet per courier company
-
Compress all files into a ZIP file
-
Upload that ZIP file in the claim form
Step 3: Upload Photo Proof
You have two options:
Using Google Drive:
1. Upload your parcel photos to Google Drive.
2. Set sharing settings to “Anyone with the link”.
3. Copy the link and paste it into the claim form.
Alternative Option:
If you can’t use Google Drive, use Shopee’s "Without GLink" template to upload your photos directly in the form.
Situations NOT Eligible for Claims
Your claim will not be accepted if any of the following apply:
1. The order payout hasn’t been released yet. You must wait until Shopee releases the payment to your Seller Balance before you can submit a claim.
2. You file the claim too late. You must file within 45 calendar days from the day the parcel was handed over to the courier or within 30 calendar days from the day the parcel was delivered.
3. You chose to cover the shipping fee. If you selected the “I will cover the shipping fee” option in your product listing, you are automatically responsible for any extra charges.
4. You used the Split Order feature. Shopee will not compensate for overcharges caused by splitting an order into multiple parcels. You absorb the cost.
5. You input incorrect weight or dimensions. If the details in your listing are inaccurate (e.g. you left out packaging size), your claim will be rejected as Shopee sees it as seller error.
6. The pickup/drop-off address in Seller Centre is not the same as the actual shipping address. Both addresses must be accurate and within the same state, or else the calculated shipping fee may differ and claims will not be approved.
7. The measurements in your photo proof do not match the ones in the Seller Centre. For example, your Seller Centre says the parcel is 1.5kg, but your photo shows 3.0kg. That mismatch puts your parcel in a different weight tier, and Shopee will reject the claim.
